We are currently seeking a detail-oriented and reliable Bookkeeper to support our growing mental health practice. This position plays a vital role in maintaining the financial integrity of our organization, allowing our clinical team to focus on providing high quality care. The ideal candidate will be experienced in managing day-to-day accounting functions, including invoicing, payroll, expense tracking, and financial reporting, while maintaining accuracy, confidentiality, and compliance with best financial practices.

Responsibilities:

  • Process vendor invoices in QuickBooks Online, ensuring accuracy, timeliness, and appropriate categorization for clinic operations and program expenses.
  • Prepare and issue payments to vendors, maintaining accurate expense allocation across departments and therapeutic programs.
  • Generate and distribute client invoices for services rendered, based on session tracking, service agreements, or insurance billing requirements.
  • Monitor client accounts and follow up on outstanding balances to support healthy cash flow and maintain client confidentiality.
  • Reconcile credit card transactions with receipts and resolve discrepancies in bank statements to ensure accurate financial records.
  • Input and maintain financial data in QuickBooks Online, ensuring consistency with budget categories and proper reconciliation.
  • Maintain organized and secure digital records of invoices, receipts, payments, and financial documentation in compliance with HIPAA and financial best practices.
  • Respond to inquiries from vendors and clients regarding billing, payments, and account concerns in a professional and confidential manner.
  • Apply working knowledge of healthcare or professional services financial management to support budgeting, cost tracking, and resource allocation.
  • Support month-end and year-end closing procedures, including preparation of financial reports for internal review and external accounting support.
